How to use Workstorm Files and Folders

On your left-hand sidebar you will see an icon for Files.

Note: For those in fully featured view or with small screens and don’t see Files on their left sidebar, click on the More overflow menu at the bottom of the left sidebar.

Select Files on the left-hand sidebar to open the Workstorm File Repository, along with the various integrated Document Management Systems (DMS) depending on your company’s settings. Your Workstorm root folder is located at the top of your left side Files menu.

Select Workstorm to open your personal Workstorm file repository – think of it as your own personal thumb drive. Inside the Workstorm root directory, there are three default folders:

  1. Documents colleagues have Shared with You in your Messages
  1. Documents that you uploaded in your Messages can be found in Uploads
  1. Recorded Workstorm video conferencing and video files can be uploaded to the Videos folder.

Main View

Once you navigate to your desired file directory you will see two main sections: Folders and Files. You can use the handy search bar at the top-middle of the screen to quickly find what you are looking for in that specific directory using keywords. To the right of the search bar, you can select your desired files layout: Column or Grid view.

Folders Features

In the Workstorm directory, you will see your three default folders, with an option to add additional folders by clicking + Add Folder on the right side of the screen.

Double-click on your desired folder to access that directory. Once inside a folder, you can create nested folders and upload files to that folder. On created folders, use the ellipsis menu in the top right corner to Rename, Move or Delete the folder.

Files Features

Once you have accessed your desired folder, you will see a list of files underneath any nested folders you have created. You can upload a file by clicking the +Upload File button located on the top-right side of your screen.

You can sort files Alphabetically or by Recently Modified with results in Ascending or Descending order, by changing the toggles at the top of the files section.

Below these toggles, you will see file previews in your selected view. For each file use the ellipsis menu on the top right corner to View File Details, Download, Share File, Move File to a Folder or Delete File

Double-clicking on your desired file opens a larger preview. Inside that preview pane, you have the options to View Full Size, Share File, Move File to Folder or Delete File. File Preview lists file details on the right side of the window.

Document Management Systems (DMS)

Below the Workstorm root folder are the various Document Management Systems (DMS) that are enabled for your account. Workstorm integrates with five different systems: Box, Dropbox, iManage, Google Drive, and OneDrive. For each DMS you have enabled, you will be prompted to log in to your native account.
